AI customer service pricing explained: the total cost worksheet
By Flynn Traeger · Sources checked November 5, 2026
Separate base fees, paid seats, AI usage, and extra charges to build an AI support budget you can check.
The four recurring cost lines
A useful estimate has four lines: platform fees, human seats, AI usage, and extras. A quote may bundle some of them.
Check whether a base fee already includes seats. Counting those seats again would overstate the total.
Monthly estimate = base fee + seats × seat rate + AI usage charges + extras.
A worked example
Suppose your quote has a $100 base fee, four $25 seats, 1,000 events at $0.99, and $20 in extras.
The estimate is $100 + $100 + $990 + $20 = $1,210 per month.
This is an invented quote to show the arithmetic. It is not a vendor package, performance forecast, or savings claim.
If usage falls to 500 events, the same assumptions produce $715. At 1,500 events, they produce $1,705.
What a headline rate leaves out
Intercom separates seat and usage charges. Front lists AI add-ons separately. Help Scout lists Envoy as an add-on.
A base platform, extra channel, or required feature tier can change the result. Ask for a written quote matching your actual deployment.
Check commitments and billing periods
For a minimum spend, use the contracted charge when your calculated usage falls below it. Ask how included credits and overages work.
For prepaid usage, confirm whether unused credits expire. Do not treat a first-month trial as the steady-state price.
For annual plans, track both the annual cash payment and its monthly equivalent. Those figures describe different budget needs.
Your next step
Build low, expected, and high usage estimates. Ask the vendor to explain what controls spend if volume exceeds the high case.
